VTEL Start-up Operations

 

  1. System
    1. Some systems are left running 24 hours per day.
    2. On other systems, the user must turn on the main power switch and

CODEC switches.

    1. These switches are located under the monitor.
    2. The main power switch should be turned on first and off last and the CODEC switch on last and off first.
    1. To reboot the system at the beginning of a videoconference, turn

off the CODEC switch, wait 2 minutes, and turn it on again.

    1. The software will be loaded after a minute or so.
    2. When the local site appears on the monitor, proceed to the next step.

 

  1. Pen Pal Control Tablet
  1. Refresh the board by turning off the on/off switch on the back of the Pen-Pal Control Tablet, the green light should go off.
  2. Wait approximately 30 seconds, and turn it on again.
  3. Click the Tablet "ON" box
  4. Click once on VIDEO CALL "Connect"
    1. Follow the cues on the right monitor.
    1. If "Call is established" appears after this click, your call is already established.
    2. You do not have to proceed if that appears on the monitor.

c. If the cue is:

1. BROWSE site list

  1. 2. FIND specified site
  2. 3. DIAL manually

click on VIDEO CALL "Connect" again, choosing

    1. BROWSE.
    2. Click on Video CALL "Connect" a third time when the cue changes on the monitor.

 

  1. Cameras
    1. To change from one camera to another, click on the camera that you want to use in the LOCAL "CAMERA CONTROL" area on the control tablet or on the remote control.
    2. Check the position, focus, and angle of Cameras 1, 2, and 3.
    3. Change the position, focus, and angle as needed.
    4. Of cameras 1 and 2, one camera is usually a wide-range view of all participants, and the other is a close-up of the presenter at the ELMO podium.
    5. When adjusting any camera, first zoom in all the way, then make adjustments to the focus and the iris, and finally zoom out to the desired location.

 

    1. Camera 1. Video camera: Use the controls on Camera 1 to adjust the camera.
    1. Zoom in or out
    2. open or close the iris
    3. focus in or out
    4. change the camera position by using the arrows.
    1. Camera 2. Video camera: Use the controls on Camera 2 to adjust the camera.
    1. Zoom in or out
    2. open or close the iris
    3. focus in or out
    4. change the camera position by using the arrows.
    1. Camera 3. Document Camera: This camera displays documents on the ELMO and the computer.
    1. A switch to the right of the arm toggles between the ELMO and the computer.
    2. Adjust the ELMO overhead presenter camera to the appropriate height by moving the "arm" up or down.
    3. Make camera adjustments with the buttons under the ELMO camera itself
    1. use the "zoom" button to zoom in all the way (T=Tight)
    2. focus with the "focus", and finally zoom out (W=Wide) to the appropriate distance.
    3. Camera 4. VCR camera: Use this camera to control the VCR, which is usually located under the monitors in the cabinet.
    1. Camera 4 can be used to play a videotape or to record a videoconference.
    1. To play a videotape, start the videotape and
    2. click on Camera 4.

    3. To record a videoconference
    1. Click on Local Camera 4.
    2. Click on the Menu "Select" and follow the cues on the right monitor. Using the up and down arrows
    3. Move the cursor to "Record VCR" and click on "Select".
    4. Then move the cursor to your choice of "Far Site Video", "Local Site Video", or "Local Site Graphics" and click "Select".
    5. Click "Clear" to clear the right monitor.
    6. Click on the camera that you want to record.
    7. Press "play-record" on the VCR.

 

  1. Audio
    1. Place the microphones so that every participant at your site can be heard.
    2. Check audio levels (+/-) under AUDIO on the control tablet.
    1. The normal level is about 15 to avoid and "echo" in multiple site conferences.
    2. Check with the other sites to ensure that the level is appropriate.
    3. Each site may have to keep its microphones muted "Mute" except when someone at the site is speaking. This is especially important with multiple site conferences.

 

TTVN Phone and Fax Instructions

 

  1. Phone
    1. Local Call
    1. Inside number: dial the five digit number
    2. Outside number: dial "9" followed by the seven digit number.
    1. Long Distance Call
    1. Dial "9" followed by the area code and number.
    2. Enter authorization number for long distance calls.

 

  1. Fax

Announce that you are sending a fax to the receiving site so that they will not answer the phone. Fax machines usually answer on the fourth ring.

 

    1. Local Faxes
    1. Place the paper to be faxed face down between the two margins. Use only one sheet of paper at a time since the machine is very sensitive.
    2. Press ON-HOOK DIAL / VOICE REQUEST button on phone/fax.
    3. At sound of the dial tone, dial the number.
    4. When the distant fax machine answers with a shrill tone, press START/COPY button. The fax will begin to send.
    1. Long Distant Faxes
    1. Place the paper to be faxed face down between the two margins. Use only
    2. one sheet of paper at a time since the machine is very sensitive.

    3. Press ON-HOOK DIAL / VOICE REQUEST button on phone/fax.
    4. At the sound of the dial tone, dial "9" followed by the area code and the
    5. number.

    6. Enter your authorization number for long distance calls.
    7. When the distant fax machine answers with a shrill tone, press the START/COPY button. The fax will begin to send.
